a) Website Intake Form

When you submit our contact form, we collect:

• Software tools you use

b) Client Diagnostic Tool

If you choose to run our optional diagnostic tool, it collects:

• Computer specifications (operating system, RAM, processor)
• A list of installed software and currently running applications
• File and folder names, sizes, types, and modification dates (metadata only)
• Your answers to guided intake questions

The diagnostic tool does not collect file contents, passwords, browser history, emails, financial data, or any personally sensitive documents. The report is saved to your computer for your review before you choose to send it to us.

c) Email Communications

We retain email correspondence between you and our team for the purpose of providing and improving our services.

d) Calls and Video Meetings

We may record calls and video meetings for documentation and quality purposes. In accordance with Florida Statute § 934.03, we will always obtain verbal consent from all participants before recording any call or meeting. If you decline, we will not record and will take written notes instead.

e) Remote Desktop Sessions

With your permission, we may access your computer remotely to install and configure automation solutions. We may screen-record these sessions for documentation. We will obtain your consent before recording. Remote access is only initiated during scheduled sessions with your knowledge and approval.

2. How We Use Your Information

We use the information we collect to:

• Assess your automation needs and prepare estimates
• Design and build custom automation solutions for you
• Communicate with you about your project and our services
• Install, configure, and support solutions on your systems
• Improve our services and internal processes
• Comply with legal obligations

We do not use your information for advertising, sell your data to third parties, or share it with anyone outside our organization except as required by law.

3. How We Store and Protect Your Information

• Client data is stored in secure, access-controlled cloud storage and/or local encrypted storage
• Access to client data is restricted to authorized personnel only
• We use industry-standard security practices to protect your information
• Client scanner reports and project files are organized by client and retained only for the duration needed to provide services

4. Data Retention

We retain your data for the duration of our business relationship and for a reasonable period afterward to support follow-up services, warranty obligations, and legal compliance. Specifically:

• Project files and deliverables: retained for 12 months after project completion, then archived or deleted upon request
• Scanner reports and intake data: retained for the duration of the engagement plus 90 days, then deleted unless you are on a recurring service tier
• Email correspondence: retained in accordance with standard business practices
• Call and session recordings: retained for 12 months, then deleted unless needed for ongoing support

You may request deletion of your data at any time by contacting us.

5. Your Rights

You have the right to:

• Request a copy of the data we hold about you
• Request correction of inaccurate data
• Request deletion of your data (subject to legal retention requirements)
• Decline recording of any call or session
• Review the output of the diagnostic tool before sending it to us
• Withdraw consent for data processing at any time

6. Third-Party Services

Our website contact form is processed by FormSubmit.co, which routes form submissions to our email. We may use third-party tools for scheduling (such as Calendly), payment processing (such as Stripe), and cloud storage. These services have their own privacy policies, and we encourage you to review them.

7. Cookies and Analytics

Our website does not use tracking cookies or third-party analytics tools. We may use Cloudflare Web Analytics, which is a privacy-friendly, cookie-free analytics service that does not track individual users.

8. Children's Privacy

Our services are not directed to individuals under the age of 18. We do not knowingly collect information from children.
